Swim Meet 101

Location: Windsor Oaks pool is located at 2990 Windsor Way, Marietta, GA 30066. Windsor Oaks is a 25-yard, 5 lane pool. We do not have diving blocks, but diving starts are permitted in the deep end of the pool. Sit starts only are permitted in the shallow end of the pool - this only applies to 10& under relays.

Parking: Parking at the Windsor Oaks pool is for the visiting team only and is very limited. Walk or carpool if possible. Please be good to our neighbors and do not block driveways. Also, remember to not park in crosswalks, intersections, or near fire hydrants. Only park on one side of the street!

Start Time/Meet Length: Warm up for home meets is 5:00pm and 5:30pm for away meets.  All meets begin promptly at 6:00pm.  Generally meets will are over by 10pm (5/6 year olds will be done at the end of the first half (after event 46) generally by 7:30pm). Inclement weather may delay the length of the meet; however, we do not run past 11:00pm.  Swimmers do not need to check in with coaches upon arrival.

Volunteers: Volunteering is required by parents of all swimmers per registration. Check the Swimtopia app for volunteer assignments. Volunteers should sign in with the Volunteer Coordinator by 5:30pm.  

Seating and Spectator Limitations: Bring your own camp chairs. Spectators for both teams will be set up outside the gate, in the parking lot only. Spectators and swimmers will NOT be allowed to set up chairs on the pool deck.  Feel free to go in to watch and cheer on your swimmer during their events, but please head back outside the gates afterwards to make room for others.

Restricted Areas: Swimmers and parents are not allowed in the upstairs of the pavilion. Swimmers and parents are not allowed to use the single restroom that is located next to the concessions (in the pavilion)- only use the restrooms located directly in the breezeway between the parking lot and pool. Please make sure that your swimmers stays off the tennis courts at all times!

Concessions: See the "Meet Concessions" tab of our website for each week's menu and pre-orders for main entrees from food trucks and local restaurants!  Be sure to watch your email to find out what will be served each week and if pre-orders are required! Candy, water, sodas, and chips will also be sold. Concessions will accept cash (small bills only) and Venmo @WOST21  (Venmo preferred)

Heat Sheet: (Pro Tip: Download the Swimtopia app!!) Heat sheets are emailed out to parents and will be published on the Swimtopia app on the day of the meet around noon. If you want a paper copy of the heat sheet, you must print your own heat sheet. There are no extras at the meet and none for sale. Please be aware that the heat sheet is subject to change up until the time of the meet.

What to Bring: A good attitude(!), patience, your team swimsuit, cap, goggles (an extra pair of goggles is a good idea!), team t-shirt, 2-3 towels, money (small bills or venmo) for concessions, snacks and drinks in a cooler, printed heat sheet (or phone with Swimtopia app downloaded *highly recommended in case changes are made!), Sharpie, folding camp chairs, a fan, and sunscreen. *High school and USA Swim Team swim suits or caps are NOT allowed.

**No Alcohol Inside the Fence/on Pool Deck!!** We will be fined and automatically forfeit the meet if any alcohol is inside the pool deck. Please tell your relatives/friends The league is strict on this!

Marking Your Swimmer's Arm

BEFORE warm up, ensure your swimmer has sunscreen on and is marked up with his/her event information and their name on their back shoulder!

Label your swimmers with a black sharpie with their race details. On their back, mark their name ‘ J. SMITH’. On their forearm, mark their event information:

After the Meet: Results, Ribbons, DQs

Results

Finishes in regular season summer league meets are based on the order of finish as recorded by finish judges. There are four finish judges watching each race finish (two on each side of the pool: the home team's finish judges are paired with the opposing team's finish judges on each side).

If there is a discrepancy in the results of the finish, the scorers send the form to the referee who confirms the order of finish. This is the reason you may see that your swimmer placed lower than expected when you look a the times listed on the results sheet.

We will email and/or post the results of each meet the day after the meet. If you purchase the in-app upgrade on the Swimtopia app, you will see your swimmer's results as soon as they are entered during the meet.

Ribbons

Volunteers work hard to make sure that our 12 & under Dolphins receive the correct ribbons from our meets, but sometimes there are mistakes!

For Windsor Oaks swim meets, ribbons are given for each event by heat, so you may have swum slower in Heat 2 than someone in Heat 1 and gotten a higher placed ribbon (this is just the way things are done with summer league as we only purchase ribbons for 1st-5th place).

Finish judge decisions supersede swimmer times recorded by timers to determine order of finish.

We strongly encourage swimmers to keep track of their best times for events and use that to measure success and improvement (not ribbon colors)!

Here’s what to do if you think you got the wrong ribbon or are missing a ribbon for an event you swim in a meet this season...

First, check the Meet Results on SwimTopia OR on our website under “Results and Records” to be sure of your place in the heat.

If you have a DQ next to your name, you were disqualified by the referee (7 &up swimmers only). This is NOT the end of the world… even Olympics swimmers get DQed! The reason we do this is so that our swimmers can learn the correct technique early! Check with a coach for the specific reason for the DQ. They will help you learn how to not do it again!

If you STILLthink you have a wrong/missing ribbon, email us at [email protected]. Be sure to include ALL of the the following in your email: Swimmer's Name, Event/Heat #, and Explanation of the Problem.  We will check the timer and finish judge cards from the meet and get back with you ASAP!

Disqualification (DQ)

DQs apply to first heats ONLY. The league official may DQ swimmers for improper stroke techniques, improper relay exchanges, improper kick techniques, and/or improper wall finishes. If your child is DQ'd please assure your swimmer that it is okay and how proud you are of them for trying! Breaststroke and butterfly are especially difficult! The coaches will go over the reasons for the DQs with swimmers at practice! To view the official DQ form with specific reasons, click HERE.
