How To Sign Up for Volunteer Jobs
How To Sign Up for (Mandatory) Volunteer Jobs at Meets:
- Click the "Calendar, Meet RSVP, Volunteer" tab on our website
- Click on the Green "Job Sign Up" for the Meet you want to sign up for
- Choose your position
- Click Save to record your choices
You must sign up for each meet separately on the website.
You may have indicated preferences during registration; however, you are not signed up to volunteer until you have done the steps above.
Your assigned volunteer job will show up in your Swimtopia app for each meet.
Per the agreement in registration, each family is responsible for a set number volunteer positions during the season (dependent on the number of eligible swimmers in your family). Volunteer Coordinators will determine the exact number of shifts prior to the season and will inform families via email. Failure to complete these will result in loss of your $200 volunteer deposit.

Volunteer Job Descriptions
Swim Meet Positions
Announcer - (Home Meet Only) The Announcer operates the public address system, keeping everyone abreast of what is happening during the meet. She/He announces the events and heats, tells swimmers to report for their races, periodically provides team scores, and makes other announcements to keep everyone informed. (You must have knowledge of swimming and preferably have history as being an announcer.)
Clean-Up - (Home Meet Only) While everyone is expected to help clean up their area after the meet, this position will help coordinators make sure the pool deck and surrounding area/pavilion are returned to a state where they are ready to be used the following day. This includes the pool deck and furniture placement, removing necessary signage and other resources used during the meet. Do not leave the meet until you have checked with the volunteer coordinators and patrolled the pool deck, grounds, fence perimeter, bathrooms, pavilion and concession area for litter and debris. These volunteers will also check and tidy bathrooms during the meet – refill toilet paper and paper towels and remove trash if necessary. (Great for a parent of an older swimmer who must stay for the entire meet.)
Computer Entry - *This position requires training, which will be provided.* This volunteer will enter places and times into the computer software during the meet. If you are interested, contact [email protected].
Concessions - (Home Meet Only) Sells food and drinks at the concession stand. Collects money and makes change. Ensures that children do not go into the concession area. A great job for those who have retail experience, who are patient with children making slow choices and who like a busy work environment. Plan to be early to your shift. Early Shift(Also helps with set up), Middle Shift and Late Shift(Also helps with cleanup).
Event Board - (Home Meet Only) This is a simple yet important job. The Event Board volunteer keeps the event board current by updating the event number and heat number. This is critical because swimmers must know exactly what event and heat we’re on, or they might miss their race. A great job for people who are really paying attention to what is happening during the meet.
Finish Judge - (Home and Away Meets) The finish judges note the order of finishers in each race by sight. Each team provides 4 judges (4 host, 4 visiting), two for each end. The finish judges sit in opposing pairs at the sides of the finish line and they agree on the order of finishers. The finish judges should have a clear view of the pool and all events. This is another great job for those who like to be close to the action.
Golf Cart Transportation - (Home Meet Only)Transport families to and from their cars as needed before the meet. This position begins early.
Lane Manager - (Home and Away Meets)The Lane Manager gets the kids lined up in a specific lane (deep end only) for their events, so they don't miss their race! If you are missing a swimmer, please tell a coach and they will go find him/her.
Runner - (Home and Away Meets) Each team always provides a minimum of 1 runner during the meet. Runners collect time slips from the timers, finish forms from the finish judges and DQ slips from the Referee. All the forms collected by the runners are taken directly to the scorer’s table.
Set-up/Parking Lot Attendant - (Home Meet Only) This person will assist the coaches with setting up the pool deck for the swim meet. Once that is completed, they will move to the parking lot and monitor who enters the lot, allowing entrance to only specific people and the elderly if needed.
Starter - (Home Meet Only) The Starter is one of the most important volunteer jobs available. The Starter works directly with the Referee to ensure that all swimmers receive a fair and equitable start. At the Referee’s signal (an outstretched hand extended toward the starter) the starter directs the swimmers to “take their mark,” and then starts the race with a blast of his bullhorn. The starter may also assist the referee in determining when a false start has occurred. Cobb County requires that all Starters receive specialized training. If you like performing important jobs that are right in the middle of the action, Starter is for you. *This job requires training* Do not sign up unless you have been trained. Timer- (Home and Away Meets) Timers work in assigned lanes and record swim times on time slips. Timers push the start button on the stopwatch at the sound of the bullhorn and push the stop button when any part of the swimmer’s body touches the solid end of the pool. This job is right next to the action, and timers must be always alert. Great way to see swimmers race! Timers may move and work both deep and shallow ending events.
Non-Swim Meet Events
Assist with Banquet - Our Banquet Coordinators need help getting ready for our end of season award ceremony, which will take place after our last meet. Help with food distribution, collect tickets, possibly help with award distribution. Wed 6/26. More info TBD. Contact Amy Cossio or Amy Sanders with questions.
Assist with Bingo Day - Help with set-up, decorate pavilion, man the prize table, clean-up afterwards. Fri 6/14. More info TBD. Contact Amy Cossio or Amy Sanders with questions.
Breakfast for Coaches – Pick up and drop off breakfast for the 11 coaches by 9:00am on Fridays. Items to bring will be explained in Swimtopia.
Donuts for Swimmers – Donut order will be placed and paid for by a board member. You will be responsible for picking up the donuts, distributing to swimmers after each practice and cleaning up after the last practice ends at 11:15. Donuts must be set up and ready to hand out by 8:30 at the end of Rookie practice.
Meet Day Pasta – Cook and man pasta station for all practices. Supplies will be purchased by the board. Contact Amy Cossio or Amy Sanders with questions. **counts as 2 shifts for 2026**
Ribbons- This volunteer job is done after the meet, at home. Labels will be printed for you. This person is responsible for putting labels on ribbons for 12 and under swimmers only. Ribbons are then filed in the ribbon notebook and brought to practice by 8:15am on the Friday after the meet.
All WOST families agreed at registration to fulfill their required volunteer slots for the 2026 season. Failure to do so will result in the loss of your $200 volunteer deposit.
